Who is responsible for your information?
Cube Tiling & Bathrooms is the trading name of Vladimir Kovachev, who is responsible for the personal information described in this notice. Contact us at info@cubetiling.co.uk, on 07776 978978, or at 6 Gwynne Park Avenue, Woodford Green, IG8 8AB, United Kingdom.
This notice covers our website and our handling of enquiries, customer communications and project administration, including telephone, email and messaging conversations.
Information we use
We use details you provide, such as your name, email address, telephone number, property address, postcode, messages, project requirements and photographs. Please avoid sending sensitive personal information that is not needed for your enquiry.
Website forms store submissions in our website administration system and send them by email. Submission records can include the page used, date and time, IP address and browser or device information. Technical email delivery logs record information such as recipients, subject, date and delivery status. Our current website logging settings do not save full message bodies or attachments in those technical logs; the enquiry itself remains in the website submission system and email correspondence.
Google Analytics collects website activity, such as pages viewed, referral information, approximate location, device/browser information and contact-link clicks. A contact-link click does not tell us what you said in your call or message. See the current cookie arrangements below.
Why we use information
We use enquiry and customer details to respond, understand your project, prepare quotations, arrange and carry out agreed work, maintain project records, and deal with follow-up questions or complaints. Where you ask us to take steps towards a contract, or we perform a contract with you, that is our legal basis.
For ordinary correspondence, business administration, relevant follow-up, security and fault investigation, we rely on our legitimate interests in running a reliable business and handling communications accurately. We consider the effect on your privacy. Where records are needed to meet a legal obligation, we use that basis. Sending an enquiry does not by itself give permission for marketing or optional tracking. Consent is required for technologies or uses that do not fall within an applicable exception; our website cookie choices are explained below.
AI tools, automation and service providers
We use SiteGround for hosting and website email services, WordPress and Elementor to handle website enquiries, and Google services for email, analytics and embedded YouTube content. Relevant business communications may also be handled using Allo for calls and messages, n8n for automation, SendPulse and WhatsApp for messaging, and our customer-management system.
We use OpenAI tools, including ChatGPT and Codex, and Anthropic Claude to assist with business administration. Relevant enquiry, contact or project information may be made available to these tools to organise records, summarise communications and prepare draft responses. This does not mean that every enquiry is sent to every tool. Vladimir remains responsible for the business’s decisions and communications. Please contact us if you have concerns about the use of your information in these tools.
Providers’ handling can depend on the service, account settings and contractual terms. We do not make a blanket promise that all providers use information only in the UK or never use information to improve their services. Their own notices provide further detail: SiteGround, Google, OpenAI, Anthropic, Allo, n8n, SendPulse and WhatsApp.
We may share relevant information with people helping us deliver your requested work or administer the business where needed, and where disclosure is required by law. Access should be limited to the information needed for that role.
Telephone calls
Some calls may be handled by an AI receptionist and may be recorded, transcribed or summarised through Allo. We use this information to capture your enquiry accurately, follow up and maintain a record of the conversation, relying on our legitimate interests in handling enquiries and resolving questions. This does not mean every call to every business number is recorded.
You can contact us by email or the website form if you prefer a written alternative. If you do not want a call recorded, tell us at the beginning so we can discuss another way to handle your enquiry. This website notice does not replace information about recording that should be provided at the beginning of an affected call.
How long we keep information
Our current practice is to keep contact details, enquiries and message histories without a fixed automatic deletion date, so these records may remain indefinitely unless they are reviewed and removed. Website email delivery logs are also currently set to have no automatic expiry. This describes the present setup; it does not mean that keeping every item forever is necessary.
Relevant retention criteria include whether an enquiry is still active, whether it became work, the need to support completed work or resolve a complaint or dispute, legal record-keeping duties, and whether the information still serves a necessary business purpose. You may ask us to review information held about you or request deletion. We will explain any continuing reason for retaining it and any applicable exception to your request. We have not yet introduced a fixed deletion schedule for every system.
Google Analytics currently has a two-month event-data retention setting and a fourteen-month user-data setting, with the user period resetting on new activity. These settings do not set a deletion date for every aggregated report. Cookie expiry is separate from information retained on a provider’s systems.
Cookies and your choices
Essential storage supports website security and remembers your cookie choices. Optional Google Analytics and Google Tag Manager load only after you accept Analytics. Embedded YouTube videos and Google Maps require a separate choice under Videos and maps, or an explicit choice to enable that service.
Use the Cookie settings button, available on desktop and mobile, or the controls below to change or withdraw your choices. Reject optional leaves optional tracking and embedded services off. You can still use the enquiry form, telephone and WhatsApp links. Withdrawing analytics refreshes the page to stop tracking that was already loaded.
Complianz stores your choices in essential cmplz_ cookies, including category choices, consented services, policy version and banner status, for up to 365 days. Clearing these cookies can make the banner appear again.
Google Analytics uses cookies such as _ga and _ga_5J1XYBE99P. In our check before these controls were introduced on 25 September 2026, their expiry was approximately thirteen months. That earlier check also found _gcl_au with approximately three months’ expiry. The current website code keeps Google’s advertising storage and advertising-personalisation consent denied. Our controls remove accessible first-party analytics cookies when analytics is declined or withdrawn.
When you enable YouTube, its player may use YSC (session), VISITOR_INFO1_LIVE, VISITOR_PRIVACY_METADATA, __Secure-ROLLOUT_TOKEN and __Secure-YNID (approximately six months in our earlier check). These relate to the player, identifiers, preferences and service operation. Availability and behaviour depend on the provider and your browser settings. We cannot directly erase cookies stored on Google’s own domains; you can remove them through your browser settings.
Cookie expiry is separate from information already collected by a provider. Withdrawal stops future optional use on this website; it does not automatically delete information previously collected lawfully. Contact us if you want to exercise your information rights.
International processing
Some providers may process personal information outside the United Kingdom. Locations and protections depend on the provider and service used. We are checking the arrangements applicable to our accounts and cannot yet give a complete account-specific list of transfer safeguards. Contact us for details relevant to your information; the provider notices linked above also explain their international processing.
Your rights
Depending on the circumstances, you can ask for access, correction, deletion, restriction of use or a portable copy of your personal information. You can object where we rely on legitimate interests and withdraw consent where we rely on consent. These rights have conditions and exceptions, which we will explain where relevant.
Contact info@cubetiling.co.uk to make a request or raise a concern. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Updates
We will update this notice when our handling or the website controls change. The date above identifies this version.
